Send workflow data to Google Sheets

Connect Google Sheets to insert rows, look up contact details, and update existing rows in workflows.

Prepare and connect

  1. 1Create or open a Google spreadsheet. Use one table per worksheet. Put unique column names in row 1, starting at A1 with no gaps. A worksheet can have up to 100 columns for this action.
  2. 2In your workflow, click + and choose Google Sheets in the action picker's sidebar. If it is not connected, LinkStack saves your draft and opens the Google connector. Sign in to an account that can edit the spreadsheet and approve Sheets access. You can also connect from Settings → Integrations → Data.
  3. 3Return to LinkStack and check that Google Sheets shows Connected. If setup is unavailable, contact support. Google Calendar connects separately.

Add the Insert row step

  1. 1Open your automation's workflow. Click +, choose Google Sheets in the sidebar, and choose Google Sheets: Insert row. You can also search for it. Connect it after the steps that collect the details you want to save.
  2. 2Paste the spreadsheet URL or ID and click Load spreadsheet. Choose the worksheet tab.
  3. 3For each column, choose a contact field, a custom field, all tags, a specific tag, latest message text, time added, or a typed value. Leave blank skips a column. Specific tags write true or false; all tags writes a comma-separated list. Missing contact values are blank.
  4. 4Review the mappings and publish the workflow. Each contact reaching the step adds one row to that worksheet. There is no extra plan upgrade for the Sheets action; your normal automation limits still apply.

Get row by value

  1. 1Choose Google Sheets: Get row by value. Load your spreadsheet and choose a worksheet with column headers in row 1.
  2. 2Choose a Lookup column and Lookup value. Use a contact field, custom field, tag, workflow value, or typed value. An email address or contact ID makes a useful unique key.
  3. 3Under Save returned columns to, map each needed column to a contact name, email, phone, or custom field. Leave Do not save selected for columns you do not need. A field can receive one column per action.
  4. 4Publish the workflow. The first exact match supplies the values. Blank cells preserve the contact's existing fields; zero and false are saved. If no row matches, the workflow continues without changing the contact.

Update row

  1. 1Choose Google Sheets: Update row, load the spreadsheet, and choose a worksheet.
  2. 2Set the Lookup column and Lookup value to identify the existing row. Then map the columns you want to update to contact fields, custom fields, tags, workflow values, or typed values.
  3. 3Keep existing value preserves an unmapped cell, including its formula. A mapped empty value clears that cell. Publish to update the first matching row. If no row matches, nothing changes; this action does not insert a new row.

Check the result

  • Workflow preview and Test skip Google Sheets actions, including lookups and contact-field changes. After publishing, use a real trigger and check the selected worksheet or contact fields.
  • Inserted and updated values are saved literally, including phone numbers and text beginning with an equals sign. They do not run formulas.
  • Lookups search the first 10,000 data rows, starting at row 2, and compare against the displayed cell value. Text matching is case-sensitive. Use unique lookup values. If a larger worksheet has no match in that range, the step stops and asks you to use a smaller worksheet.
  • If all mapped values are empty, the step fails instead of inserting an empty row. Collect and save answers before the Sheets step.

Columns, access, and retries

  • If you add, remove, rename, or reorder columns, open the step and click Refresh columns. Mappings follow unchanged column names; removed or renamed columns need new mappings. Review and publish again. A changed header row stops writes until the published mappings are updated.
  • Renaming a worksheet tab is supported because the step tracks its ID. Deleting and recreating the tab requires selecting it again.
  • A Google rate limit pauses the step and retries up to five times with increasing delays. Other failures stop the run and appear in automation activity. If a timeout leaves the result uncertain, check the sheet before running the contact again so you do not create a duplicate.
  • Reconnect in Settings → Integrations if access expires. For access errors, check that the connected Google account can edit the spreadsheet and that the worksheet is not protected.
  • Disconnect removes LinkStack's saved connection. Existing spreadsheet rows, imported contact values, and workflow mappings remain, and later Sheets actions fail until you reconnect. You can also revoke Google-side access in your Google account.
